Let’s talk about automations that feel authentic, because this topic gets way more side-eye than she deserves.

If you’re anything like the photographers I work with, you’ve probably told yourself one of two things. Either “systems aren’t that important for me”, or you worry that using a workflow/automation will make your business feel cold or impersonal. Like clients will somehow perceive it as apathy. And judge you for it.

I want to (kindly) challenge that.

What if automations aren’t the thing that cheapens your client experience, but the thing that elevates it?

You didn’t build a six-figure photography business by accident. You built it because you care deeply. About your work, your people, and the experience you provide. You work your ass off, and pour your entire heart into what you’re doing. You’re probably also tired.

Right now, your brain is holding a lot. Client emails. Scheduling. Follow-ups. Invoices. Prep guides. Family logistics. The mental tabs are endless. And when everything lives in your head… no matter how hard we try? Things slip. Not because you don’t care, but because you’re human. It happens to me too. Buuuuut, it happens far less, now that I have systems set up in my business. 

Here’s the shift I want you to consider. Your clients don’t want less communication from you. They want clearer communication.

They want to feel taken care of without having to ask for it.

Picture this. Your ideal client asks for a photographer recommendation in their group chat. Your name comes up. What do you want the response to sound like?

“I loved her. She made everything so, so easy. I never felt so comfortable before!”

That kind of experience doesn’t happen by chance. It’s intentionally curated. But that does NOT mean, it’s sleazy. Building a good system for your ideal client, is a kindness. It centers THEIR mental load, not yours.

Automations That Feel Authentic start with intention… 

Here’s the part that matters most. Automations are only as impersonal as the way they’re written and implemented.

You can absolutely tell your clients that some emails are automated. Most people don’t mind at all. In fact, they appreciate having the information exactly when they need it. Clear timelines. Clear next steps. And clear expectations.

That’s not robotic. That’s respectful.

You also don’t have to send everything on autopilot without a human touch. Tools like “set to approve” or “create draft” features let you keep things moving while still adding your voice. You’re not disappearing. You’re guiding the process with more ease.

This is where automations that feel authentic really come to life. When the structure is solid, you actually have more space to personalize where it matters most.

And let me be clear about one thing. Please don’t copy and paste generic AI emails and call it a day. Your clients can tell if it was written by ChatGPT. Take the time once to write (or at least personalize) emails that sound like you. 

 

If you want to charge more, you need to be supported by a backend that can hold that level of service. That means crafting a meaningful experience from the moment someone finds you, allllllll the way to the moment they’re raving about you to their friends in the group chat. Then you replicate it in a way that works for your brain.

Your systems & automations are the studs that hold up the house. Your photos and personality are the beautiful finishes, but they can’t do the heavy lifting alone.

 

CRMs like HoneyBook or Dubsado exist for a reason. They’re tools, not replacements for you. When set up well, they let you show up more consistently, not less.

At the end of the day, automations that feel authentic aren’t about removing yourself from your business.

They’re about infusing yourself INTO our business in a way that is repeatable and real. 

And then, it protects your energy so you can stay present for the parts that matter. Your clients. And the creative energy it takes to craft meaningful photos for them. 

You started this business to live fully. Your systems should help you do exactly that.
